Paul Davis is currently looking for a Project Coordinator to work in a team environment alongside a Project Manager and a PMA/Estimator. Project Coordinators work with owners and sub-contractors after events such as a fire or flood to clean up and repair damage to residential and commercial property. As a Project Coordinator, you will supervise the renovation, as well as manage costs with the insurance provider. This means you will spend a good deal of time in the field.

10 years plus of construction project management experience is required to receive consideration for this position.

Compensation includes a base salary plus the opportunities to earn commissions when the individual exceeds expectations. No limit to earning potential.

Project Coordinator Scorecard

Objective: Communicate with Project Managers & PMA/Estimator to ensure accurate scope and get to know homeowner/adjuster, recruit and manage sub-contractors to hit expected margins while delivering an exceptional customer experience. Live out the Paul Davis Basics.

Measurable Outcomes:

  • Ensure projects are completed with a 42% gross margin;
  • Manage sub-contractors to hit deadlines and stay within budget;
  • Set and exceed customer expectations with a NPS score > 75%;
  • Communicate and collaborate with customers throughout the project
  • Hit 85% of your set production cycle times;
  • Deliver what you promise to customers and clients;
  • Recruit and retain 4 subcontractors from each field of expertise; and
  • Always have a pipeline of subcontractors to call on.

Priorities/Focus:

  • Attend weekly GS&R coaching session with Sales Manager;
  • Bi-weekly profitability analysis;
  • Communicate and collaborate daily with the PM and PMA/Estimator to ensure proper handling and completion of the life cycle of the job;

 Essential Duties

  • Attend jobsites alongside the Project Manager, to assess damages and create a comprehensive scope.
  • Provide scopes and information to the PMA/Estimator and maintain regular contact for project changes.
  • Transfer completed estimates and scopes into a profitable job completed in a timely manner.
  • Act as the knowledgeable source of information for all operations related questions.
  • Source pricing for different projects and allocate qualified sub-contractors.
  • Organize, schedule instruct and manage sub-contractors on projects.
  • Deal with all parties regarding permits, bylaws building code regulations.
  • Ensure all involved parties are informed and working to tight deadlines.
  • Have the ability to inspect the quality and workmanship at different stages of the process, through regular site inspections.
  • Work productively as a team with one common goal.
  • Conduct pre-construction meetings at the start of each job.
  • Be responsible for the overall GP on all jobs and aggressively strive for the desired %.
  • Schedule the completed work order to include: preconstruction onsite meeting when appropriate, sequencing, timing, master scheduling, and trades assignments.
  • Start job in a timely manner.
  • Secure necessary permits.
  • Schedule inspections.
  • Administer work orders or schedule employee assignments.
  • Inspect all assigned projects for progress.
  • Maintain documentation on personal inspections and project flow.
  • Maintain professionalism with project conditions: (i.e.: workmanship, homeowner relationships, safety, cleanliness, and tradespeople conduct).
  • Manage job to speedy conclusion.
  • Interface with other team members and CSR about project progress, completion, conditions.
  • Professionally handle any and all complaints.
  • Manage punch list completion, obtain completion certificate, and collect funds, if available.
  • Handle project changes and divert the information to the relevant people.
  • Present company processes and setting expectations to sub-contractors.
  • Conduct site visits, email and telephone communications.
  • Practice immediacy by responding to all phone/email/online requests within 2 hours.
  • Maintain regular communication with all parties, to ensure schedules are followed and deadlines are met.
  • Manage multiple projects at once, whilst maintaining efficiency.
  • Provide a calming approach whilst dealing with conflict resolution.
  • Take ownership of every customer.
  • Hit and exceed weekly/monthly/yearly targets.
  • Be included in the “On-Call” team rotation.
  • Actively close jobs with homeowners and obtain completion certificates.
  • Understand the Paul Davis Key Performance Indicators and the Service Level Agreements set by our insurance customers, and setting expectations based on them.
  • Submit weekly reporting to the Sales Manager.
  • Follow established safety procedures
  • Handle enquiries from all stakeholders – both internal and external.
  • Be responsible for creating punch lists and for job completion.
  • Become IICRC certified in at least WRT, ASD, and FSRT
  • Position our customer to want to celebrate the completion of each job. Computer proficiency in MS Office applications in particular – MS Project, MS Excel, MS Outlook, along with ability to quickly learn new applications
  • Must maintain a valid driver’s license, insurance and reliable vehicle.
  • Must provide a clean criminal background record.
