General Description

Performs a wide variety of functions; filing; collecting information, preparing reports and providing liaison between management, other organizational units, and external customers; perform related work.

Nature and Scope

Performs a wide variety of functions and is delegated the authority to coordinate non-routine clerical activities.

  • Receive, review direct and file incoming invoices, expenses and payments.
  • Create weekly cheque runs.
  • Work to tight payroll deadlines and manage last minute submissions.
  • Work with sub-contractors to resolve/investigate invoice queries.
  • Act as a liaison between their organizational unit and external customers.
  • Must be (become) knowledgeable of multiple procedures and program requirements to respond to inquiries, explain department services, policies, procedures, and rationale for decisions to customers.
  • Have responsibility for financial bookkeeping including monitoring budgets, preparing financial transactions, A/R, Invoicing, A/P, Payroll and reports.
  • Independently research, analyze, and compile information to prepare reports, handle complaints, or resolve problems; compose correspondence for supervisor on own initiative or from general instructions.
  • Balance multiple demands from multiple project owners
  • Additional duties as assigned.

Skills and Knowledge

Good knowledge of: office support functions including word processing, filing, composing a variety of business documents, gathering and compiling data, and balancing and coordinating a workload for multiple projects.

Specialty Areas

  • Must have QuickBooks knowledge and experience
  • Good knowledge of construction terminology and procedures – asset, but not required
  • Ability to keyboard/type at the rate of 40 words per minute.
  • Bookkeeping (accounting) knowledge and experience
  • Experience using spreadsheet software; intermediate word processing skills.
  • Experience using data base software.
  • Experience handling phones
  • Balancing multiple tasks
